Privacy Policy

1. Who we are

This policy explains how Sitehandy Solutions (registration NS0159990-H), F-7 Tingkat 1, Bangunan Arked MARA, 71000 Port Dickson, Negeri Sembilan, Malaysia, handles personal data in connection with BillingEvo. We are the data user responsible for that data under Malaysia’s Personal Data Protection Act 2010 (PDPA).

2. What this policy covers, and what it does not

It covers personal data we receive when you visit this website, contact us, buy a plan, activate a licence or ask for support.

It does not cover the data inside your own BillingEvo installation. BillingEvo runs on your server: your clients, invoices, payments and tickets are stored there, not with us. For that data you are the data user, and your own privacy policy applies to your customers.

3. Data we collect

When you contact us. The contact form on this website does not send anything to us or store anything. It opens WhatsApp or your email app with your message filled in, and we receive what you choose to send: usually your name, email address, phone number, company and message. WhatsApp is run by Meta under its own privacy policy.

When you buy a plan. Your name, company, billing address, email address, phone number, tax identification number if you give one, the plan you bought and your payment records. Card and bank details are handled by the payment provider and are not stored by us.

When your installation checks its licence. Your licence key, the domain BillingEvo is installed on, an installation ID and the BillingEvo version, along with the server’s IP address that every internet connection carries. The licence check does not send any client, invoice or payment data from your installation.

When we give support. What you tell us, and anything we see if you give us access to your installation to help you. We only access what is needed for the request, and only while working on it.

When you visit this website. The website is delivered through Cloudflare, which processes technical data such as IP addresses and request logs to serve pages and protect against attacks. We do not use analytics, advertising trackers or cookies. If you switch between light and dark mode, that choice is saved in your own browser and never sent to us.

4. Why we use it

• to answer your questions and arrange demo access;
• to process orders, deliver BillingEvo and issue invoices and receipts;
• to activate licences, apply your plan and prevent licence misuse;
• to give support and send important notices about your licence, security or these policies;
• to meet our legal, tax and accounting obligations.

We do not sell personal data, and we do not use it for advertising. We send product news only if you ask for it, and you can stop at any time.

5. Who we share it with

• service providers who help us run the business, such as website hosting and delivery (Cloudflare), email, and payment processing, only for that purpose;
• professional advisers, such as accountants and lawyers, under a duty of confidentiality;
• authorities, when the law requires it.

6. Transfers outside Malaysia

Some of these providers process data in other countries. When that happens, we use providers that protect the data in line with the PDPA.

7. How long we keep it

We keep personal data only as long as we need it for the purposes above. Order, invoice and payment records are kept for as long as Malaysian tax and business law requires. Contact messages that do not lead to an order are deleted when they are no longer needed.

8. How we protect it

We limit access to the people who need it, use encrypted connections, and protect our systems and accounts with strong authentication.

9. Your rights

Under the PDPA you can:

• ask for access to the personal data we hold about you, and a copy of it;
• ask us to correct data that is inaccurate, incomplete or out of date;
• withdraw your consent, or ask us to limit how we use your data, including for marketing.

Email hello@sitehandy.com with your request. We may ask you to confirm your identity first. If you withdraw consent for data we need to provide BillingEvo, we may not be able to continue providing it.

10. Children

BillingEvo is a business product. This website is not meant for children, and we do not knowingly collect their personal data.

11. Changes to this policy

We may update this policy. The date at the top of this page shows when it last changed. If a change materially affects how we use your data, we will tell customers by email.

12. Language

This policy is available in English and Bahasa Melayu. If the two versions differ, the English version applies.
